Who we are
Quotiva is operated by Retty iim Rachmani. We are the data controller for the personal data described in this notice, which means we decide why and how it is processed.
Data we collect and why
- Account data (email address, login identifiers) — to create your account and authenticate you. Legal basis: performance of our contract with you.
- Job and document content (client names, job titles, notes, amounts, uploaded photos and PDFs) — to provide the service. Legal basis: contract.
- Support messages — to answer your questions. Legal basis: contract and our legitimate interest in supporting customers.
- Usage and technical data (device identifiers, IP address, basic telemetry, error logs) — for security, fraud prevention, and improving the product. Legal basis: legitimate interests.
Who we share data with
- Service providers and subprocessors that host our database, storage, and email.
- Paddle, our Merchant of Record, for the sale of the product, subscription management, payments, tax compliance, and invoicing.
- Professional advisers such as legal and accounting providers.
- Authorities where we are required to do so by law.
International transfers
Our providers may process data outside your country. Where data leaves the UK or EEA we rely on adequacy decisions or Standard Contractual Clauses as safeguards.
Retention
We keep account and job data for as long as your account is active, and for up to 30 days after closure so you can export it. Records we must keep for legal or tax reasons are retained for the required period. After that, data is deleted or anonymised.
Your rights
Depending on where you live you may have the right to access, correct, delete, restrict, or port your personal data, to object to processing, and to withdraw consent. You can also complain to your local supervisory authority. We respond to requests within one month.
Security
We apply appropriate technical and organisational measures, including encryption in transit, access controls, and row-level database rules so that each account can only read its own records.
Cookies
We use essential cookies and local storage to keep you signed in. We do not use advertising cookies. You can clear or block cookies in your browser, but sign-in will stop working.
